You should not submit Aadhaar, passport, PAN or other sensitive identification documents unless specifically requested through an authorised WPVL channel.

d. emergency contact details;

e. WhatsApp number;

f. parent or guardian contact details; and

g. social-media handles provided by you.

4.3 Account Information

Where account functionality is available, we may collect:

e. OTP verification records;

f. account activity; and

g. communication preferences.

WPVL will not ask you to disclose your password, card PIN, internet-banking password or OTP through an unsolicited call, email, message or social-media communication.

4.4 Player and Sporting Information

For player registrations, trials, scouting, auctions and participation, we may collect:

a. playing position;

b. dominant hand;

c. height, weight and other sporting measurements;

d. team and club history;

e. school, college, academy or association details;

f. match statistics and performance records;

g. achievements, awards and certificates;

h. playing videos, photographs or showreels;

i. coach and referee references;

j. trial and assessment results;

k. player category, ranking or auction status;

l. disciplinary, suspension or eligibility information;

m. anti-doping declarations and related records;

n. current and previous sporting contracts; and

o. information necessary to determine eligibility or team suitability.

4.5 Health, Fitness and Medical Information

Where necessary for player safety, participation or event operations, we may collect:

a. fitness declarations;

b. injury history;

c. physical limitations;

d. allergies;

e. emergency medical information;

f. medical certificates;

g. fitness-assessment results;

h. blood group, where voluntarily provided or required for safety;

i. medication information relevant to participation;

j. physiotherapy or rehabilitation information; and

k. anti-doping test information.

We will seek to collect only the health information reasonably necessary for player safety, eligibility, medical support or League administration.

Medical information may be accessed only by authorised personnel, medical professionals, team officials or service providers where access is necessary and lawful.

4.6 Parent and Guardian Information

Where a participant is below eighteen years of age, we may collect:

g. payment or transaction information submitted by the parent or guardian.

4.7 Ticketing and Event Information

When you register for or attend an Event, we may collect:

a. attendee name;

b. contact details;

c. ticket category;

d. booking number;

e. seat or access details;

f. payment status;

g. identification details where required for entry;

h. accessibility or accommodation requirements;

i. guest information provided by the ticket purchaser;

j. accreditation details;

k. entry and exit records; and

l. security-related incident information.

4.8 Payment and Transaction Information

For paid registrations, tickets, merchandise or other purchases, we may collect:

Payments may be processed by third-party banks, UPI providers, card networks or payment gateways. WPVL may not directly receive or store your full card number, CVV, UPI PIN or internet-banking credentials.

Where a person is the specific focus of a commercial shoot, interview, testimonial or promotional campaign, additional consent or contractual permission may be obtained where required.

e. prepare advertisements and campaigns;

Player, franchise, employee and participant media rights may also be governed by separate agreements.

a. protect Users, players and attendees;

b. secure accounts and systems;

c. detect unauthorised access;

d. prevent ticket fraud;

e. prevent impersonation;

f. investigate misconduct;

g. protect venues and property;

h. enforce event rules;

i. address cyber threats; and

j. establish, exercise or defend legal claims.

6.9 Legal and Regulatory Compliance

We may process information to:

a. comply with applicable laws;

b. respond to lawful government requests;

c. maintain taxation and accounting records;

d. comply with judicial or regulatory orders;

e. conduct anti-doping and integrity procedures;

f. fulfil safeguarding obligations;

7. GROUNDS FOR PROCESSING PERSONAL INFORMATION

Depending on the circumstances and applicable law, WPVL may process personal information:

c. to process a registration or transaction initiated by you;

d. to take steps before entering into an agreement;

e. to administer an agreement with you;

f. to comply with a legal obligation;

g. to protect the life, health or safety of an individual;

h. to prevent fraud or security threats;

i. to respond to medical emergencies;

j. for employment or engagement-related purposes;

k. for purposes voluntarily requested by you; or

l. for another lawful purpose permitted under applicable law.

Where processing is based on consent, you may withdraw that consent, subject to applicable legal and contractual restrictions.

Withdrawal of consent will not affect processing already lawfully undertaken. It may prevent WPVL from providing a service where the relevant information is necessary for that service.

WPVL seeks to process personal information in accordance with applicable Indian law, including the Digital Personal Data Protection Act, 2023 and the Digital Personal Data Protection Rules, 2025 as and when the relevant provisions become effective and applicable. The main processing obligations under the Act and Rules were notified for phased commencement.

8. PLAYER INFORMATION SHARED WITH FRANCHISES

Where a player applies for selection, trial or auction participation, WPVL may share relevant player information with authorised franchises, coaches, selectors, scouts, auction administrators and League officials.

The information shared may include:

a. player name;

b. age and eligibility status;

c. playing position;

d. height and sporting measurements;

e. performance records;

f. player photographs and videos;

g. team and tournament history;

h. achievements;

i. assessment results;

j. fitness or availability status;

k. player category and auction information; and

l. other information reasonably necessary for sporting evaluation.

Detailed medical records, identity documents and unrelated personal information will not ordinarily be shared with franchises unless access is necessary, authorised and lawful.

Franchises receiving personal information may be required to use it only for authorised League purposes and protect it in accordance with their contractual and legal obligations.

9. WHEN WE MAY SHARE PERSONAL INFORMATION

WPVL does not sell personal information to advertisers or data brokers.

We may share personal information with the following categories of recipients:

9.1 WPVL Franchises and League Personnel

Information may be shared with authorised franchises, team management, coaches, selectors, scouts, officials, auction administrators, employees and authorised representatives where necessary for League operations.

9.2 Technology and Website Providers

We may use providers for:

a. website hosting;

b. cloud storage;

c. registration forms;

d. database administration;

e. analytics;

f. cybersecurity;

g. email delivery;

h. communication management; and

i. technical support.

9.3 Payment and Financial-Service Providers

Transaction information may be shared with payment gateways, banks, UPI providers, card networks, accountants, auditors and taxation advisers.

9.4 Ticketing and Event Partners

Information may be shared with ticketing platforms, venues, accreditation providers, security agencies, event-management companies, hospitality partners and access-control providers.

9.5 Travel, Accommodation and Logistics Providers

Participant information may be shared with hotels, transport operators, travel agencies, courier companies and logistics partners where necessary to arrange authorised services.

9.6 Medical, Fitness and Anti-Doping Professionals

Relevant information may be shared with authorised doctors, physiotherapists, medical facilities, testing agencies, anti-doping bodies and emergency-service providers.

9.7 Broadcasting, Media and Production Partners

Authorised photographs, videos, player profiles, interviews and Event recordings may be shared with broadcasters, production companies, photographers, media partners and promotional agencies.

9.8 Professional Advisers

Information may be shared with lawyers, auditors, insurers, consultants and other professional advisers bound by appropriate confidentiality obligations.

9.9 Government and Regulatory Authorities

We may disclose personal information where required by:

a. applicable law;

b. court order;

c. law-enforcement request;

d. government authority;

e. sports governing body;

f. anti-doping authority; or

g. another legally authorised body.

9.10 Corporate Transactions

If the Company undergoes a merger, acquisition, restructuring, investment, transfer of business or sale of assets, relevant personal information may be disclosed to advisers, investors or acquiring entities subject to appropriate safeguards and applicable law.

9.11 With Your Direction or Consent

We may disclose information to another person or organisation where you have instructed or authorised us to do so.

10. SERVICE PROVIDERS AND DATA PROCESSORS

WPVL may appoint third-party service providers to process personal information on its behalf.

Where appropriate, we require such providers to:

c. maintain confidentiality;

d. implement reasonable security safeguards;

e. restrict access to authorised personnel;

WPVL is not responsible for a third party’s independent processing where that third party separately determines how and why personal information is used. Such processing will be governed by the third party’s privacy policy.

11. INTERNATIONAL PROCESSING AND TRANSFERS

Some technology, analytics, cloud, communication or service providers may store or process information outside India.

Where personal information is transferred or processed outside India, WPVL will seek to ensure that the transfer:

a. is permitted under applicable law;

b. is necessary for providing the relevant service;

c. is subject to appropriate contractual or organisational safeguards; and

d. does not take place in violation of any restriction issued by a competent authority.

Different countries may have different data-protection standards. WPVL will take reasonable steps to protect information under its control regardless of where authorised processing takes place.

12. CHILDREN’S AND MINORS’ PRIVACY

WPVL is a women’s sporting league and may receive registrations from players below eighteen years of age.

12.1 Parent or Guardian Involvement

A minor must not independently submit a binding registration, consent or payment unless permitted by applicable law.

Where a minor participates, WPVL may require:

a. verifiable consent from a parent or lawful guardian;

b. proof of the parent or guardian’s identity;

c. proof of relationship or guardianship;

d. parent or guardian contact details;

e. medical and emergency authorisation; and

f. acceptance of participation terms.

12.2 Use of Minor’s Information

Information relating to a minor may be used only for appropriate purposes such as:

a. registration and eligibility verification;

b. sporting assessment;

c. event participation;

d. player safety;

e. communication with the parent or guardian;

f. travel and accommodation arrangements;

g. emergency medical support;

h. safeguarding; and

i. authorised League promotion.

12.3 Media Content Involving Minors

WPVL may obtain appropriate parent or guardian permission before using a minor as the specific subject of a promotional shoot, interview or campaign where such permission is required.

Incidental crowd or event footage may be captured during public or ticketed events, subject to event notices and applicable law.

12.4 Protection of Children

WPVL does not knowingly use children’s personal information for harmful processing.

WPVL does not intend to undertake behavioural monitoring or targeted advertising directed at children where such activity is prohibited by applicable law.

13. COOKIES AND SIMILAR TECHNOLOGIES

The WPVL website may use cookies, pixels, tags, local storage and similar technologies.

Opting out of marketing will not prevent necessary transactional, security, registration, contractual or event-related communications.

16. EVENT PHOTOGRAPHY, VIDEOGRAPHY AND CCTV

WPVL events may involve photography, videography, livestreaming, broadcasting and CCTV surveillance.

16.1 Event Media

Images and recordings may be used for:

a. live or delayed broadcasting;

b. news and media coverage;

c. League promotion;

d. social-media content;

e. match highlights;

f. event documentation;

g. sponsor reporting; and

h. historical archiving.

Reasonable notices may be displayed at venues or included in ticket and event conditions.

16.2 Featured Content

Where an individual is specifically interviewed, photographed or recorded for a testimonial, advertisement or featured promotional campaign, WPVL may obtain additional permission or enter into a separate agreement.

16.3 CCTV

CCTV may be operated for:

a. venue security;

b. public safety;

c. crowd management;

d. incident investigation;

e. prevention of theft or misconduct; and

f. protection of participants and property.

CCTV recordings will be retained only for a reasonable period unless required for an investigation, dispute or legal obligation.

17. DATA RETENTION

WPVL retains personal information only for as long as reasonably necessary for the purpose for which it was collected, including to satisfy legal, contractual, financial, sporting, safety and operational requirements.

Retention periods may depend on:

a. the type of information;

b. the purpose of processing;

c. whether the User maintains an active account;

d. the duration of a player, employee, franchise or vendor relationship;

e. applicable limitation periods;

f. taxation and accounting requirements;

g. sporting integrity and disciplinary requirements;

h. health and safety needs;

i. pending complaints or disputes;

j. security and fraud-prevention requirements; and

k. applicable law.

For example:

a. unsuccessful general enquiries may be deleted after a reasonable administrative period;

b. transaction and taxation records may be retained for legally required periods;

c. player registration and performance records may be retained for League administration, sporting history and integrity purposes;

d. medical information will be retained only for as long as necessary for safety, participation, contractual or legal purposes;

e. photographs, match footage, official statistics and historical sporting records may be retained as part of WPVL’s legitimate sporting and historical archive; and

f. information connected with a dispute, investigation or legal claim may be retained until the matter is concluded.

When information is no longer required, WPVL may securely delete, anonymise or archive it in accordance with applicable requirements.

18. DATA SECURITY

WPVL seeks to implement reasonable administrative, technical, physical and organisational measures to protect personal information from:

a. unauthorised access;

b. unlawful disclosure;

c. alteration;

d. misuse;

e. accidental loss;

f. destruction;

g. cyberattack; and

h. other unauthorised processing.

Measures may include:

a. access controls;

b. password protections;

c. role-based permissions;

d. encryption where appropriate;

e. secure hosting;

f. system monitoring;

h. confidentiality obligations;

i. vendor-security requirements;

e. the request is fraudulent or abusive;

f. the information forms part of an official sporting or transaction record that must be maintained; or

g. another lawful exception applies.

Where appropriate, WPVL will explain the reason for the restriction.

21. WITHDRAWAL OF CONSENT

Where processing is based on consent, you may withdraw that consent by contacting WPVL.

After receiving a valid withdrawal request, WPVL will stop the relevant processing within a reasonable period unless:

c. another lawful ground permits continued processing; or

Withdrawing consent may result in:

a. cancellation of an incomplete registration;

WPVL may refuse to alter official match results, sporting decisions, disciplinary findings or historical records merely because an individual disagrees with the record. Such matters may be addressed through the applicable sporting or appeal procedure.

23. DELETION AND ACCOUNT CLOSURE

You may request deletion of personal information or closure of your WPVL account.

WPVL may retain certain information after account closure where necessary for:

a. legal compliance;

b. payment and taxation records;

c. fraud prevention;

d. sporting integrity;

e. contractual enforcement;

f. dispute resolution;

g. event safety;

h. match and historical archives; or

i. establishing or defending legal claims.

Deleting an account will not necessarily remove:

a. publicly issued match results;

b. official player statistics;

Where you provide information about another person, such as a guest, emergency contact, employee, player or guardian, you confirm that you are authorised to provide that information and have informed the person about the relevant processing where required.

The Services may contain links to:

a. social-media platforms;

b. ticketing websites;

c. payment gateways;

d. streaming services;

e. merchandise partners;

f. sponsor websites;

g. news websites; and

h. other external services.

WPVL does not control the privacy practices of independently operated third parties.

Before submitting personal information to an external service, you should review that service’s privacy policy and terms.

The presence of a link does not necessarily mean that WPVL endorses or controls the third party.
